Cohort #1Hand It Off: a 4-week cohort for owners

Build the business so it doesn't need you for everything.

You can't step away because the business runs on you and on work done by hand. In 4 weeks, you build the foundations that take those jobs off your plate, so things keep moving when you're not there.

An owner hands a binder labeled Hand-off to a staff member at the front desk, then heads out.

TL;DR

The cohort in 20 seconds

  1. 01 · The problem

The business runs on you and on work done by hand. Some jobs only get done when you do them.

  2. 02 · The fix

In 4 weeks you build 3 tools that take those jobs off your plate, one a week.

  3. 03 · You leave with

Monday warnings, a staff Q&A and weekly follow-up drafts. Plus a hand-off sheet for your staff.

  4. 04 · It takes

    About 2 hours a week. $800 a seat. Registration closes 26 October.

The problem

Some jobs only get done when you do them.

Some jobs only get done when you do them. You check the numbers. You answer every "how do we do this?" call. You chase the quotes and the unpaid invoices.

So you can't step away. Nobody else knows how it all runs.

This cohort takes three of those jobs off your plate, one a week. In week 4 you hand them to your staff.

Three staff members bring questions to the owner at once: a phone call, a clipboard and an invoice.
  • Checking the numbersAfter week 4: Monday warnings
  • "How do we do this?" callsAfter week 4: A staff Q&A
  • Chasing quotes and invoicesAfter week 4: Weekly follow-up drafts

What you leave with

Three tools, built on your own data and running in your own accounts.

Tool 01 · Week 1

Monday warnings

Every Monday, when you open your computer, your Monday warnings land in your inbox. They show your numbers and the problems that need action, so you stop finding them late.

Tool 02 · Week 2

A staff Q&A

Your staff ask it how to do something. It answers only from your own written procedures. If the answer is not there, it tells them to ask a person.

Tool 03 · Week 3

Weekly follow-up drafts

An AI assistant drafts follow-ups for open quotes, unpaid invoices and quiet customers. A staff member approves each one before it sends.

You also leave with

A hand-off sheet

Each tool gets a named owner on your staff. The sheet says what to do when a tool fails and how to stop it.

You also leave with

A 7-day test without you

You set the dates in week 4 and run the test yourself. We check in on 2 December to look at what happened.

Week by week

One job off your plate each week.

Pre-work · starts when you register, done by 27 October

Set up at your own pace.

Open your accounts. Connect your main software read-only, or export 90 days as a CSV. Write your "only me" list: every task that stops when you're away for a week.

What you have at the end

Your data is readable. Your "only me" list is done.

How it runs

About 2 hours a week. Setup happens before week 1.

  • Setup happens before the first session, so every live minute goes to building.
  • 4 live sessions, 90 minutes each, online, on Wednesdays. We set the time on 14 October from the times registrants pick.
  • Every session is recorded.
  • About 2 hours a week: the 90-minute live session plus about 30 minutes of homework. The weekly office hour is optional.
  • One optional office hour each week, and a group chat for questions between sessions.
  • Up to 10 people. The cohort runs with 3 or more.
  • Tools you pay for yourself: Claude Pro at $20 a month. Composio and a Google account are free. Browserbase and Doppler are only for the optional lab.

It is for you if

  • Your business runs on you and on work done by hand.
  • You, or someone on your team, can give about 2 hours a week for 4 weeks, plus the setup before week 1.
  • You can get to your data: a connection or an export.
  • You use AI at any level, from the odd chat to writing code. No coding needed. We ask your level when you register and pair people so nobody waits.

It is not for you if

What we teach, and what we don't

We teach tools that run in your own accounts: Claude Projects, Composio, Google Sheets and Gmail.

We show, but don't teach, servers, databases and keeping a daily copy of your data. If you want them built, we build them for you. If you want your team to learn them, that is team training.

Software with no connection? An optional office-hour lab covers Browserbase and Doppler, including what to check in your vendor's terms first.

Who teaches it

Alejandro Morales

COO & Co-founder of STOA. STOA is the tech and software team for small businesses that don't have one. It decides what gets built on a business's software, and then builds it. In this cohort, he teaches you to build part of it yourself.

Questions

That part is yours. We help you build the tools and hand them to your staff. You set the dates for a 7-day test without you, and you run it. On 2 December we look at the results together.
